Best Free CRM (2026): 9 Plans That Stay Free (No Trial Traps)

By David Paul, CRM Analyst · Updated March 2026

After testing every CRM with a free-forever plan, HubSpot CRM has the strongest free feature set (email tracking, meeting scheduler, pipeline, 2,000 emails/month). For 3-person teams, Zoho CRM and Freshsales both offer 3 free users. And for teams that need unlimited seats, Bitrix24 is the only CRM with no user cap on its free plan.

Every CRM on this list is free forever — not a free trial. We verified user limits, contact caps, and what triggers an upgrade on each platform.

How We Evaluated Free CRMs

We tested each CRM's free plan (not free trials) on five criteria: contact and user limits, feature depth, upgrade pressure, data portability (can you export your contacts?), and mobile app quality. We excluded CRMs that only offer free trials (Pipedrive, Monday CRM, Salesforce paid plans) from the main list.

According to Grand View Research, 91% of companies with 10+ employees now use a CRM. The CRM market is projected to reach $96.39 billion by 2026. Free plans are how most small businesses start, and the right free CRM can grow with you. Nucleus Research found that CRM returns an average of $8.71 for every $1 spent, which means even a small upgrade investment pays for itself.

We also reviewed G2, Capterra, and Reddit threads in r/CRM and r/smallbusiness to capture real feedback from users running businesses on free CRM plans. For our full evaluation approach, see our best CRM software methodology.

The 7 Best Free CRMs

Top Picks: Best Overall and Best for Small Teams

HubSpot has the deepest free feature set. Zoho CRM fits 3-person teams already in the Zoho ecosystem.

#1HubSpot CRMBest Overall Free CRM
Free forever (2 users)Paid from: $20/user/mo G2: 4.4/5

HubSpot CRM is the free plan other CRMs get compared to. You get contact management, email tracking, a deal pipeline, meeting scheduling, live chat, and 2,000 branded emails per month. For accounts created after September 2024, the free plan covers 2 users and 1,000 contacts. HubSpot has over 228,000 customers across 135 countries (HubSpot 2024 annual report), and a large share started on this free tier.

The meeting scheduler is the feature that saves coaches, consultants, and small business owners the most time. You share a booking link, prospects pick a slot, and HubSpot creates a contact record and sends a confirmation. Email tracking shows when someone opens your proposal, so you can follow up the same day. The deal pipeline tracks prospects across custom stages you define.

HubSpot's free plan also includes 5 reporting dashboards, a documents library for proposals and contracts, and integrations with Gmail, Outlook, and over 1,700 third-party apps. No other free CRM matches that integration count. For solo founders and two-person teams, HubSpot covers the full sales workflow without spending a dollar.

The trade-off is what HubSpot locks behind paid plans. You can't create automation workflows, custom reports, or email sequences on the free tier. The 1,000-contact cap means you'll hit upgrade pressure fast if you're running email marketing. The jump from free to Starter ($20/user/month) is manageable, but Professional at $890/month is a steep cliff.

Strongest free feature set: email tracking, pipeline, meetings, live chat
2,000 branded emails/month included
1,700+ integrations (most of any free CRM)
5 reporting dashboards on free plan
1,000-contact cap for accounts after Sept 2024
2-user limit on new free accounts
No automation, sequences, or custom reports on free plan
Paid from: $20/user/mo
Try HubSpot Free
#2Zoho CRMBest Free CRM for Small Teams
Free forever (3 users)Paid from: $14/user/mo G2: 4.1/5

Zoho CRM Free supports 3 users, which gives it an edge over HubSpot's 2-user cap for accounts created after September 2024. You get lead management, contact and deal tracking, tasks, events, one sales pipeline, and a mobile app. For a 2 to 3 person team that needs basic CRM without paying, Zoho is the most practical option.

Zoho's free plan includes email integration (send and receive from the CRM), basic workflow rules, and standard reports. The mobile app works well for field teams who need to log calls and update deals on the go. Zoho also connects to the broader Zoho suite (50+ apps), so you can add Zoho Mail, Zoho Invoice, or Zoho Projects as your needs grow.

The 3-user limit is strict. Adding a fourth person requires upgrading to Standard at $14/user/month. The free plan also locks out mass email, custom modules, advanced automation, and most integrations beyond Zoho's own apps. Storage is capped at 1 GB across the organization. For a 2 to 3 person agency or consulting firm, those limits are workable. For a growing sales team, you'll outgrow the free tier within a few months.

Zoho's interface gets mixed reviews. G2 users rate it 4.1/5, with complaints about the dated UI and steep learning curve compared to Pipedrive or HubSpot. The trade-off is value: Zoho's paid plans start at $14/user/month with features that cost $50+ on competitors.

3-user limit is higher than HubSpot Free (2 users)
Mobile app works well for field teams
Connects to 50+ Zoho suite apps
Basic workflow rules included on free plan
1 GB storage cap across the organization
No mass email, custom modules, or advanced automation
Interface feels dated compared to competitors
Paid from: $14/user/mo
Try Zoho CRM Free

Sales-Focused and Unlimited Users

Freshsales gives sales teams a built-in phone on the free plan. Bitrix24 removes the user cap entirely.

#3FreshsalesBest Free CRM for Sales Teams
Free forever (3 users)Paid from: $9/user/mo G2: 4.5/5

Freshsales Free gives sales teams a clean Kanban pipeline, built-in phone, email integration, and a mobile app for up to 3 users and 1,000 contacts. The interface is cleaner than Zoho's and more focused than HubSpot's. G2 reviewers rate Freshsales 4.5/5, and sales reps praise the unified inbox that pulls email, phone, and chat into one timeline per contact.

The built-in phone is the differentiator. Most free CRMs don't include calling. Freshsales gives you a VoIP phone on the free plan, so your sales team can make and log calls from the CRM without a separate tool. The Kanban view shows deals across custom stages, and the mobile app lets reps update deals between meetings.

Freshsales connects to Gmail, Outlook, and Zoom on the free plan. The integration count is smaller than HubSpot's, but the core connections (email, calendar, video calls) are covered. For a 2 to 3 person sales team that lives in email and phone calls, Freshsales Free has everything needed to run a sales process.

The free plan restricts custom fields, workflows, and advanced reporting. You can't segment contacts or build custom reports. AI lead scoring (Freddy AI) requires the Pro plan at $39/user/month. But the cheapest paid tier (Growth at $9/user/month) is the most affordable upgrade path on this list. See our Freshsales vs HubSpot comparison for a deeper breakdown.

Built-in phone (VoIP) on free plan — rare for free CRMs
Clean Kanban pipeline with intuitive drag-and-drop
Gmail, Outlook, and Zoom integrations included
Cheapest upgrade path ($9/user/mo Growth tier)
No custom fields, workflows, or advanced reporting on free plan
Fewer integrations than HubSpot
AI lead scoring locked to $39/user Pro plan
Paid from: $9/user/mo
Try Freshsales Free
#4Bitrix24Best Free CRM for Unlimited Users
Free forever (unlimited users)Paid from: $49/mo G2: 4.1/5

Bitrix24 is the only CRM on this list with no user limit on its free plan. A 10-person team can use Bitrix24 Free without paying a dollar. You get CRM, tasks, projects, team chat, video calls, a calendar, and a basic website builder. For small agencies or consulting firms where everyone needs CRM access, Bitrix24 eliminates per-seat pricing entirely.

The free plan includes 5 GB of storage, unlimited contacts (in theory), and a wide feature set. The CRM covers leads, deals, contacts, companies, and invoices. The task and project management tools rival standalone apps. The built-in video calling and chat replace Slack or Teams for internal communication.

But Bitrix24 Free has gotchas that no competitor article mentions. You can't export contacts via CSV on the free plan, which means your data is locked in. Full-text search breaks after 1,000 records per category, making the CRM hard to use at scale. And Bitrix24 deletes inactive free accounts after 50 days of no logins. If you go on vacation and forget to log in, you could lose everything.

The interface is overwhelming. Bitrix24 packs dozens of features into a single platform, and new users report spending days configuring it. G2 reviewers rate it 4.1/5 but frequently cite the complexity. For teams that need unlimited free seats and can tolerate the setup time, Bitrix24 is the pick. For everyone else, HubSpot or Zoho is easier to start with.

Unlimited users on free plan (no other free CRM offers this)
CRM, projects, chat, and video calls in one platform
Invoicing included on free plan
5 GB storage
Can't export contacts via CSV on free plan (data lock-in)
Search breaks after 1,000 records per category
Deletes inactive accounts after 50 days
Paid from: $49/mo

All-in-One, Mid-Size Teams, and Operations

EngageBay includes email marketing and helpdesk on free. Agile CRM and Vtiger give 10-user teams free seats with lead scoring and project management.

#5EngageBayBest Free All-in-One (CRM + Email + Helpdesk)
Free forever (15 users)Paid from: $12.74/user/mo G2: 4.7/5

EngageBay packs CRM, email marketing, helpdesk, and live chat into a free plan for up to 15 users. No other free CRM includes email marketing with autoresponders, a helpdesk, and live chat at no cost. G2 reviewers rate EngageBay 4.7/5, and users frequently call it the best HubSpot alternative for small teams that can't afford HubSpot's paid plans.

The free plan includes 1,000 branded emails per month, autoresponders, lead capture forms, one landing page, appointment scheduling, and email tracking. You also get a helpdesk with ticket management and live chat. For a small business that needs marketing, sales, and support in one tool, EngageBay covers all three at $0.

The catch is the 250-contact cap. That limit makes EngageBay's free plan more of a test drive than a long-term solution. A solo founder who hits 250 contacts in the first month has to upgrade to the Basic plan at $12.74/user/month. The 15-user limit is generous, but the contact limit undermines it. You can seat your whole team but can only track 250 people.

EngageBay's paid plans are competitive: Basic at $12.74/user/month includes 500 contacts, and Growth at $45.99/user/month includes 5,000 contacts. For teams that want an all-in-one platform and are willing to upgrade early, EngageBay's free plan proves the concept before you commit.

CRM, email marketing, helpdesk, and live chat on free plan
15-user limit (highest on this list)
1,000 branded emails/month with autoresponders
4.7/5 on G2 with strong user sentiment
250-contact cap is very restrictive
More of a demo than a long-term free plan at 250 contacts
Limited third-party integrations on free plan
Paid from: $12.74/user/mo
Try EngageBay Free
#6Agile CRMBest Free CRM for 10-User Teams
Free forever (10 users)Paid from: $8.99/user/mo G2: 3.8/5

Agile CRM gives you 10 free users and 1,000 contacts with lead scoring, email campaigns, appointment scheduling, and one sales pipeline. For a 5 to 10 person team that needs basic CRM and email marketing without paying, Agile CRM covers the most seats after Bitrix24 and EngageBay.

The free plan includes contact management, deal tracking, lead scoring, and the ability to send email campaigns (limited to a daily cap). The appointment scheduling tool lets prospects book time on your calendar without a separate Calendly subscription. The mobile app supports contact lookup and deal updates on the go.

Agile CRM has the lowest G2 rating on this list at 3.8/5. Users report bugs in the email campaign builder, inconsistent deliverability, and slow customer support. The interface feels less polished than Freshsales or HubSpot. The free plan also lacks two-way email sync, which means you have to forward emails to log them in the CRM.

For teams that need free seats for 5 to 10 people and can tolerate a rougher product, Agile CRM fills a gap. The Starter plan at $8.99/user/month unlocks two-way email sync, marketing automation, and social monitoring. For teams that prioritize polish over seats, Freshsales or HubSpot is a better starting point.

10 free users with 1,000 contacts
Lead scoring and email campaigns on free plan
Appointment scheduling included
Affordable upgrade ($8.99/user/mo Starter)
Lowest G2 rating on this list (3.8/5)
Buggy email campaign builder
No two-way email sync on free plan
Paid from: $8.99/user/mo
Try Agile CRM Free
#7Vtiger CRMBest Free CRM for Operations-Heavy Teams
Free forever (10 users)Paid from: $12/user/mo G2: 4.3/5

Vtiger's One Pilot (free) plan gives 10 users and 3,000 records, the highest record limit on this list. You get contact management, web forms, email and SMS campaigns, lead scoring, project management, a team mailbox, and document tracking. For teams that run operations alongside sales (tracking projects, documents, and inventory), Vtiger covers more ground than any other free CRM.

The 3,000-record limit is generous. Most free CRMs cap you at 250 to 1,000 contacts. Vtiger counts all records (contacts, deals, projects), but even splitting that across categories gives you room to run a real business. The project management module lets you assign tasks, set milestones, and track hours alongside your CRM data.

Vtiger's G2 rating of 4.3/5 reflects solid functionality with a learning curve. The interface has more depth than Freshsales, and configuring the free plan takes more time upfront. But the feature set justifies it. Web forms capture leads from your website. The team mailbox lets multiple users manage a shared inbox. Document tracking shows when a prospect opens a file you sent.

The One Growth plan at $12/user/month unlocks advanced automation, custom dashboards, and process management. For teams that need CRM plus project management plus document tracking on a free plan, Vtiger is the pick. For teams that want simple contact tracking, HubSpot or Freshsales is faster to set up.

3,000-record limit (highest on this list)
Project management, team mailbox, and document tracking included
Web forms and lead scoring on free plan
10 users included
Steeper learning curve than simpler CRMs
Interface has more depth but less polish
Smaller community and fewer integrations
Paid from: $12/user/mo
Try Vtiger Free
Expert take
A free CRM that limits you to 250 contacts isn't free — it's a demo. HubSpot and Zoho give you enough room to run a real small business. Start there, and only upgrade when you hit a limit that costs you deals.

Hidden Costs: What Triggers an Upgrade

Every free CRM has a ceiling. Here's what pushes you to a paid plan on each platform:

CRMYou'll Need to Upgrade When...First Paid Tier
HubSpotHitting 1,000 contacts or needing automation workflowsStarter $20/user/mo
Zoho CRMAdding a 4th user or needing mass emailStandard $14/user/mo
FreshsalesNeeding custom fields, workflows, or advanced reportsGrowth $9/user/mo
Bitrix24Needing CSV export or search on 1,000+ recordsBasic $49/mo (5 users)
EngageBayExceeding 250 contactsBasic $12.74/user/mo
Agile CRMNeeding two-way email sync or marketing automationStarter $8.99/user/mo
VtigerExceeding 3,000 records or needing custom workflowsOne Growth $12/user/mo

The cheapest upgrade path is Freshsales Growth at $9/user/month. The most expensive first paid tier is Bitrix24 Basic at $49/month (for 5 users). HubSpot's Starter at $20/user/month is mid-range but jumps to $890/month for Professional. See our HubSpot pricing for small business guide for the full cost breakdown.

Free Forever vs Free Trial: Know the Difference

Every CRM on this list is free forever. You create an account, use the features, and never get charged. But many CRM articles mix free-forever plans with free trials, which is misleading. Free trials expire:

 • Pipedrive: 14-day free trial, then $14/user/month. No free plan. See our HubSpot vs Pipedrive comparison.
 • Monday CRM: 14-day free trial. Monday has a free tier for project management, but the CRM module requires a paid plan.
 • Salesforce Free Suite: Free for 2 users, launched in 2025. But no API, no integrations, and no custom objects. More limited than HubSpot or Zoho Free.
 • Close: 14-day trial, then $49/user/month. No free plan.

If you see a CRM marketed as “free” and it asks for a credit card during signup, it's a trial. Every CRM on our list requires no credit card to start.

What Users Say: G2 and Reddit Feedback

HubSpot gets the most praise for its free feature depth, but the September 2024 contact limit change (from 1 million down to 1,000) frustrated existing users. Reddit threads show coaches and consultants switching to Zoho or Freshsales after hitting the new cap. Freshsales earns 4.5/5 on G2 with praise for the clean UI and built-in phone.

Bitrix24 gets praise for unlimited free users but complaints about the overwhelming interface. The 50-day inactivity deletion policy catches users off guard. EngageBay has the highest G2 rating on this list (4.7/5), with users calling it the best HubSpot alternative for teams that can't afford paid plans. Agile CRM's 3.8/5 on G2 reflects bugs in the email builder and slow support.

Frequently Asked Questions

Is there a truly free CRM?+
Yes. HubSpot, Zoho CRM, Freshsales, Bitrix24, EngageBay, Agile CRM, and Vtiger all offer free-forever plans with no credit card required. These plans have limits on users, contacts, or features, but they never expire and never charge you. Free trials (Pipedrive, Salesforce, Monday CRM) expire after 14 to 30 days.
What is the best free CRM for a small business?+
HubSpot Free CRM for most small businesses. You get 2 users, 1,000 contacts, email tracking, meeting scheduling, and a deal pipeline at $0. Zoho CRM Free is better if your team has 3 people and you want lead management with basic workflow rules. Freshsales Free is the pick for sales teams that need a built-in phone.
Is HubSpot CRM really free?+
HubSpot's core CRM is free with no time limit. Accounts created after September 2024 get 2 users and 1,000 contacts. The free plan includes contact management, email tracking, deal pipelines, and meeting scheduling. You hit upgrade pressure when you need automation, custom reporting, or more than 1,000 contacts.
How many contacts can you have on HubSpot free?+
1,000 contacts for accounts created after September 2024. Older accounts may have higher limits grandfathered in. The 1,000 cap applies to marketing contacts you can email. You can store additional non-marketing contacts, but active email contacts are capped.
Does Zoho CRM have a free plan?+
Zoho CRM offers a free plan for up to 3 users. You get lead, contact, and deal management, a mobile app, email integration, and basic workflow rules. The free plan lacks mass email, custom modules, and advanced automation. Storage is capped at 1 GB across the organization.
What are the limitations of free CRM software?+
Free CRMs typically cap users (2 to 15 depending on the platform), limit contacts (250 to 3,000), restrict automation and workflows, offer minimal reporting, and lack integrations. Bitrix24's free plan blocks CSV export, which locks your data in. EngageBay caps contacts at 250. Most free plans include the vendor's branding on outgoing emails.
Is Salesforce free for small business?+
Salesforce launched Free Suite in 2025, offering free CRM for up to 2 users. You get lead tracking, pipeline management, and basic email. But Free Suite has no API, no third-party integrations, and no custom objects. HubSpot and Zoho's free plans are more capable for most small businesses.
What is the easiest free CRM to use?+
HubSpot Free has the smoothest onboarding and the most polished interface. Freshsales has a cleaner UI than Zoho or Bitrix24. For the absolute simplest free CRM, Less Annoying CRM at $15/month isn't free but is the easiest to learn. Among truly free options, HubSpot and Freshsales are the fastest to set up.
Can I use a free CRM for email marketing?+
HubSpot's free plan lets you send 2,000 branded emails per month. EngageBay's free plan includes 1,000 branded emails plus autoresponders. Zoho and Freshsales on free plans support basic email integration but not bulk marketing. For real email marketing on a free CRM, HubSpot or EngageBay are the picks.
